A Free New Tool That Will Simplify Your Meeting Mathematics

Trying to figure out how much coffee you’ll need for your next morning reception? How about estimating how much liquor you’ll need for your evening cocktail hour? What about the number of staff you’ll need to ensure that next event runs smoothly?

These questions are nothing new in the meetings industry, but finding the right answers is not always easy — until now. The Convention Industry Council and Washington, D.C.-based hospitality software company Social Tables partnered to release a free mobile app, the Pocket Planner. Compatible with iOs and Android devices, planners can simply enter the number of attendees into the app’s calculator, and the app delivers recommended quantities of food and beverage, safety requirements and staffing. The calculator uses an algorithm that bases on estimates on the industry best practices and established standards in the CIC Manual.

“Pocket Planner is not specifically for a Social Tables product,” Claire Harrington, CMP, Public Relations Manager, Social Tables, says. “It’s a tool built to empower the entire meeting planning community. We heard plenty of frustrations from planners who are tired of spending time on these calculations and wanted to deliver a resource to make their lives easier.”

“We are especially proud of this new product, as it marks the first time that the CIC has partnered with a technology firm on an app,” Harrington adds.

Dan Berger, CEO of Social Tables, is especially excited about the app’s ability to create more time for planners to focus on big-picture questions.

“It will automate manual processes, allowing meeting planners to spend more time on strategic tasks,” Berger predicts.

While the Pocket Planner will make an immediate on-site impact, the CIC is already working on an addition that will make the app even more valuable: a mobile version of the CIC Manual, the go-to study guide for the CMP and a handy resource for day-to-day operations.
