Convention Centers Offering State-Of-The-Art Technology

Improved High-Tech Capabilities Wow Groups

More expansive meeting space and a wider variety of amenities continue to draw an increasing number of groups to the Greater Columbus Convention Center (GCCC). However, a higher caliber of technology is playing an equally critical role in propelling the facility to the top of planners' lists of favorite convention venues. Managed by SMG and owned by the Franklin County Convention Facilities Authority, the GCCC offers a technology menu that allows it to cater to individual delegates' needs as well as to provide a high level of customer service. For example, high-speed Internet access is available to all trade show booths through Priority Networks, the GCCC's exclusive on-site Internet provider. Priority Networks' upgraded infrastructure, along with the convention center's fiber-optic and copper backbone, ensure high-speed, reliable connections and can accommodate small and large shows alike. The center's DS3 Internet connection affords a connectivity rate of 45 Mbps (roughly equal to 28 T-1s).

Complementing this roster of options are several technology packages designed to afford systems scalability and flexibility. The GCCC's technology staff works with clients to tailor a package to meet their needs and surpass their expectations. Through the center's redesigned Web site, www.ColumbusConventions.com, clients can enjoy the convenience of ordering their Internet and other required event services online.

Beyond technology, the GCCC features 426,000 square feet of exhibit space, two ballrooms, 61 meeting rooms, more than 3,000 parking spaces, and access to four hotels by covered walkway. A Food Court & Shops retail area makes it easy for delegates to enjoy something to eat, purchase personal items and gifts, or surf the Internet wirelessly without leaving the facility.

Meanwhile, entertainment and dining districts lie within walking distance of the high-tech center. The Arena District, a popular destination located just west of the GCCC, includes the SMG-managed Nationwide Arena, Dispatch Ice House, the Lifestyle Communities Pavilion concert venue, the Arena Grand movie theater, and a variety of restaurants and pubs. One block north of the facility are The Cap at Union Station and the Short North Arts District, with eclectic dining, art galleries, pubs, nightlife, and shops. Nearby as well are the Columbus City Center shopping mall and downtown hotels, including the Hyatt Regency Columbus and Hyatt on Capitol Square; Courtyard by Marriott; DoubleTree Guest Suites; Drury Inn & Suites; Westin; Red Roof Inn; Crowne Plaza; Hampton Inn and Suites; The Lofts, a New York-style hotel; and The Columbus - A Renaissance Hotel.

Online Services Lead to Unique Events

Few, if any, association groups want to change their requirements to suit the technology infrastructure of the meeting venue they have selected. At the George R. Brown Convention Center (GRBCC) in Houston, they don't. In addition to its complete administrative and event telephone services, the GRBCC, through technology partner Smart City Networks, offers high-speed Internet access using Gigabit or faster Ethernet protocols to all exhibit spaces and meeting rooms. Smart City's network services professionals provide turnkey data networking services that enable clients to create local area networks (LANs), wide-area networks (WANs), and virtual private networks (VPNs), all using the latest technology. Custom configurations are available. Even better, Smart City's unique event technology enables groups meeting at the GRBCC to enjoy online services that set their events apart. Clients can create Internet broadcasts of their events that may be viewed worldwide, or set up customized Internet access and e-mail centers. A permanent fiber optic backbone capable of handling more than 5,000 connections at any one time supports LAN, WAN, and shared or dedicated Ethernet services. Virtual local area networks (VLANs) with point-to-point networking enable data and/or video to be transmitted to multiple locations, and 100 percent wireless Internet coverage provides more than 10,000 connections.

The GRBCC features high-tech audiovisual equipment and lighting. A complete range of audiovisual presentation technology services is available through AVW-TELAV Audio Visual Solutions. Such services include audiovisual and computer equipment rental, lighting, staging, sound, video, special effects, and logistical support for meetings, trade shows, exhibits, and events.

Topping the list is its ideal location, in the center of sports, dining, entertainment, and nightlife action found only in downtown Houston. The facility features easily configurable space for any possible event or show. The numbers add up: the GRBCC features a total of 893,590 square feet of exhibit space, of which 639,000 square feet is contiguous. Meeting space spans 185,000 square feet; registration space, an expansive 99,000 square feet. The George R. Bush Ballroom boasts 31,590 square feet of elegance and style; and the General Assembly, a 3,600-seat amphitheater, is great for presentations and general sessions.

Facility is Place Where Business, Aloha Meet

The Hawaii Convention Center in Honolulu is changing the way people think about Hawaii. Since the facility opened in 1998, the state's reputation as a destination for international and national meetings and conventions has soared. The center's impressive technological capacities exceed all expectations and dispel any notion of Hawaii as simply a vacation destination. In a testament to the superiority of the Hawaii Convention Center, a sample of Hawaii clients rated the center No. 1 in a study that ranked the Hawaii Convention Center and nine other convention centers in the United States. On a 10-point scale, with 10 being excellent, the center received an average rating of 8.1 in the Metropoll X study, conducted by research firm Gerard Murphy & Associates. The Hawaii Convention Center was ranked No. 1 for attractiveness, proving the appeal of a meeting setting where nature, technology, and humanity converge.

Promoted as the place "where business and aloha meet," the Hawaii Convention Center is acknowledged as one of the world's most progressive facilities of its kind.

The center features fiber optic and Category 5 infrastructure, affording the highest quality, fastest voice and data communication on the market. High-speed Internet access is available, and data jacks positioned throughout the building yield maximum flexibility and enable reliable Internet access to the world.

What's more, coaxial cables facilitate video connections to all major areas of the building. All meeting rooms have simultaneous multilingual translation capability and a six-station, simultaneous interpretation room allows translators to view speakers using a video monitor for complete privacy. In the auditorium, groups can utilize a built-in projection room and a soundproof multimedia presentation environment with concert-quality acoustics.

Convention Television (CTV), an impressive feature and a joint venture with Time+Warner Cable in Honolulu, further sets the center apart from other large-scale meeting facilities. CTV's fiber optic trunk line, built especially for Waikiki, allows it to provide proprietary visitor and convention information directly to all convention hotels in the city. CTV currently is converting its technology to a "narrowcasting" technique that will permit messages targeted to specific incoming groups to be taped via Internet protocol.

Topping it all off, its strategic mid-Pacific location renders Hawaii unique as a center of commerce with global appeal.

Technology Upgrade Opens Door for Wireless Internet Access and More

A two-phase, $135 million technology upgrade and ballroom expansion is certain to inspire planners to take a fresh look at the Kansas City Convention Center. Completed last year, the technology upgrade involved the deployment of wireless Internet access throughout the building, as well as the installation of an energy-efficient DALI lighting system in the renovated meeting rooms and the new ballroom expansion. With the new lighting system in place, each light/ballast has its own IP address and can be individually controlled. The system even detects burned-out bulbs.

Also part of the technology "renovation" was the addition of new board and conference rooms with built-in credenzas and data-powered audiovisual equipment, as well as a state-of-the-art projection system in the prefunction area. An Innerwireless Distributed Area System facilitates communications throughout the facility's meeting space by supporting staff radio, cellular telephone, and 802.11 wireless LAN usage. A data network with two layers - the Exhibitor Network and the Technology Network - may be externally controlled.

Additionally, audio support is provided in all rooms. The facility's audio systems utilize the technology network to distribute signals to control rooms, permitting broadcast distribution and recording throughout the building. Cobranet technologies facilitate audio distribution, allowing the center's support staff to monitor, handle, and record meeting functions anywhere within the facility.

Meanwhile, the designers of the center's new 46,500-square-foot ballroom are thinking outside the box - literally. When the ballroom opens in 2007, a 38-foot-high glass wall running the entire length of the south wall will allow natural light into the space, adding dramatic views of Kansas City. Lighting in the ballroom will include a controllable, energy-efficient day lighting system, or "clerestory," that will let changing amounts of natural light into the space as the sun moves. The ballroom will be divisible into three separate rooms for additional flexibility and will connect to the existing conference center to accommodate additional breakout sessions.

Fiber Optic Gigabit Upgrade Enhances Facility's Reputation

When it comes to convention center technology, meeting planners now demand features that enable delegates to access and exchange information in lightning-fast mode. The Los Angeles Convention Center (LACC) easily satisfies these demands, thanks to a recent major technology enhancement involving the conversion of the facility's data backbone to a 1 Gigabit single-mode fiber optic network. The upgrade reinforces the LACC's position as a technology leader in the convention and trade show industry.

With the new technology in place, data may be transmitted at 10 times the speed of the previous 100-megabit system, with more reliability, easier service installation, and higher bandwidth capacity levels in all 870,000 square feet of the center's exhibit and meeting space. A wealth of benefits to exhibitors and attendees alike includes simplified streaming of video broadcasts, faster audio downloads, better integration with Voice-over-IP phones, and the ability to transmit signals further without the need for repeated "refreshing" or "strengthening."

Implemented in collaboration with Smart City Networks, the nation's largest provider of convention industry-grade data technology, the upgraded system also affords greater resistance to electromagnetic noise emitted by radios, motors, or other nearby cables. Enhanced Wi-Fi access throughout the facility is made possible as well. Wireless Internet access is available in all public areas of the center.

But that's not all. At the LACC, groups enjoy a full complement of audio/video services overseen by a designated event manager. Each meeting room features a voice-quality sound system, with one complimentary lectern and wired microphone per room available on request. The audio system in each room can utilize three microphones without a mixer. Clients may use the facility's permanent sound system, or contract with an outside vendor to install a temporary sound system. The LACC can also provide record feeds to a recordist; individual feeds may be sent to each room or to a selected centralized recording location.

Beyond technology, the LACC lies within close proximity of major hotels, making it a perfect choice for groups of all sizes and needs. The center offers 720,000 square feet of exhibit space, generously sized lobbies and prefunction areas, and a tiered 299-seat theater equipped with fold-down desktops and a rear-projection audiovisual room, making this an ideal location for lectures and presentations. To complement its two food courts, the LACC recently unveiled two Starbucks locations and the Gordon Biersch Restaurant.

Facility Stays Ahead of Clients' Needs

As event technology becomes more robust and network architecture becomes more durable and reliable, bandwidth-intensive applications are emerging as the industry's hot new trends. Through its partnership with Smart City Networks, the Las Vegas Convention Center (LVCC) strives to stay ahead of the technological needs of those who use the facility. Las Vegas hosts some of the largest technology conventions in the world, including the International Consumer Electronics Show (CES) every January, and Las Vegas as a destination has always been quick to seek out and implement the latest technology, both for operations and the convenience of its visitors. Therefore, it's in the best interest of the LVCC to ensure that it provides the latest in technological advancements and services to its clients.

The LVCC's extensive list of advanced technology offerings includes webcasting, VoIP, Wi-Fi networks, and enhanced security networks. Digital webcasting is available to all building clients through iStreamPlanet, providing a direct connection to audiences around the globe. Through VoIP, a streaming application that can converge voice, video, and data over a single Internet line, groups using the facility can hold "virtual meetings," bringing outside participants into their meetings. The LVCC is also one of the largest wireless Internet sites in the nation, with connections throughout the facility.

In addition to the technology services provided at the LVCC, enhanced security for these networks and services is available and recommended. For shows that require a lot of external demand, a custom-designed network that includes encryption features is recommended. Creating these custom networks provides a private network for show staff, exhibitors, and/or attendees. The LVCC continuously updates the technological infrastructure to ensure that building clients are able to offer the services expected by their attendees.

As if that weren't enough, the LVCC's technology infrastructure makes it easy for meeting attendees to navigate the building, as well as for exhibitors and show managers to easily configure booths with the proper accoutrements. Digital and interactive directional signs and maps placed in all areas of the center provide directions and convention information, while remote check-in for a number of airlines is available at digital kiosks located throughout the building. Together with Smart City, the LVCC provides a number of services for vendors and show management, including equipment rental, Internet services, wireless services, utility services, data networking, and telephone services.

Walt Disney World Resort Melds Creativity, High-Tech Support

The next big reason to return to Disney has just been announced. It's called the "Year of a Million Dreams," and it promises new excitement and unforgettable experiences for attendees. Beginning this fall and continuing through 2007, the event celebrates the powerful emotional impact of the Disney experience. A massive global marketing campaign is getting under way that is sure to enhance Disney's already proven ability to drive record-breaking attendance for association meetings and trade shows. Spectacular celebrations and attendance boosts are just part of the support that association professionals can expect when they book at Disney. Here they'll also find world-famous creativity and service blended with state-of-the-art tech support. Disney is home to six dedicated convention resorts and more than 600,000 square feet of ballroom, meeting, and exhibit space. The resort's information technology backbone includes customized LAN, VLAN, WAN, and VPN networking, enabling it to support virtually every type of hi-tech communication need. Planners also have convenient access to all data connections, including fiber, 100-megabit circuit, ISDN, gigabit Ethernet, and voice-support systems. Whatever the group's need - from customized networks to cyber cafes to complete broadcast capabilities - Disney offers an outstanding blend of technology and service to make it happen.

Wi-Fi hotspots are also available throughout each resort's meeting space and public space areas. And, while some hotel companies offer technical assistance or access to a "technology concierge," Disney backs its technology with the complete support of an on-site telecommunications company.

Complementing its technology set-up, Disney offers a wealth of other value-adds for association professionals. One of the newest is Disney's Exhibitor Concierge. This complimentary service is offered at select resorts and is exhibitors' single source for everything from in-booth support and amenities to planning assistance for private client events. The concierge team can even help exhibitors produce private events inside the Disney Theme Parks.

There's great news for attendees too. The wildly popular - and complimentary - Disney's Magical Express service offers guests of all Disney-owned hotels roundtrip airport shuttles from Orlando International Airport, and luggage delivery and advance airline check-in for participating airlines. Attendees are sure to appreciate this cost savings and convenience.

No other destination on earth compares to the Walt Disney World Resort. Whether yours is an intimate board meeting or an annual event of 10,000, Disney can create a meetings experience that you and your attendees will never forget.
